Privacy Policy

Applies to the Discord bots and web panels of the OsloRP community

1. Overview

The data controller is the OsloRP team — a private Discord and FiveM (GTA V Roleplay) community. This Privacy Policy describes what data our Discord bots and related web panels process, and why.

All services are private and intended solely for members of the OsloRP Discord server. The bots are not a public service and cannot be invited to other servers. This policy covers:

  • Discord bots: Oslo-BOT (main community bot), BotFirmy (company panel), AwanseBOT (staff promotions and leaves of absence), CrimeBOT (organization stats, battles, warnings), OsloTickety (ticket / support system), Oslo Frakcje (factions, playtime, tickets), Oslo Prompt (custom commands, playtime ranking) and auxiliary administration bots (ban management, suggestions, role assignment).
  • Web panels: logs panel, vehicles panel, housing panel, voting system, documents panel (MDT), administration panel and events panel.

2. What data we process

Depending on the feature used, we process:

  • Discord account data: user ID, username, avatar, server membership, roles and join date. When you log in to a panel via Discord (OAuth2) we obtain basic profile data within the scope you approve in the Discord authorization dialog.
  • Message content: scanned in real time for anti-phishing and auto-moderation. As a rule it is not stored. Exceptions: (a) support ticket transcripts saved for handling and archival; (b) moderation logs may record the offending URL or attachment name; (c) messages in one designated alert channel are forwarded as an SMS notification to on-duty staff.
  • Activity and statistics: message counters, contest entries, warnings, organization and battle stats, playtime, leave-of-absence schedules, donator status, promotion history.
  • FiveM gameplay data: linked to your in-game identifier — vehicles, properties, documents (MDT), hours played — processed for the panels and game-server integration.
  • Server logs: events from the FiveM server, stored in the logs panel.
  • Votes cast in the voting system.
  • Technical data: session cookies required for login and panel operation.

3. Purposes and legal basis

We process data to: operate the bots and panels, moderate and secure the server (anti-phishing, auto-moderation), handle support tickets, maintain community statistics and rankings, and manage staff (leaves, promotions, permissions).

The legal basis is our legitimate interest in running a private community and your consent given when logging in via Discord (OAuth2). By using the server and our services you accept this Privacy Policy.

4. Where and how we store data

Data is stored on a private server (VPS) located in the European Union (Poland), in databases (PostgreSQL, MySQL, SQLite) and configuration files. Access is limited to authorized administrators. Regular user message content is not persisted.

5. Retention period

  • FiveM server logs: kept for at most 60 days, after which they are deleted automatically.
  • Other data: kept for as long as needed to operate the services, or until deleted at your request or when you leave the server.

6. Data sharing and third parties

We do not sell data and do not share it for marketing. Some features rely on trusted providers:

  • Discord — communication platform and login (OAuth2).
  • Twilio — SMS notifications to on-duty staff.
  • Anthropic (Claude) — optional AI assistant; the content of a request sent to the assistant is processed by Anthropic to generate a response.
  • FiveManage — media file hosting.

Data may be disclosed where required by applicable law.

7. Your rights

You have the right to access, rectify, delete and restrict the processing of your data. To exercise these rights or request deletion of data linked to your Discord account, contact us (see “Contact”). We handle deletion requests within a reasonable time.

8. Security

We apply technical and organizational safeguards, including access limited to authorized administrators. No storage method is 100% secure, however, and we cannot guarantee absolute security.

9. Minors

The services are intended for users who meet the minimum age required by the Discord Terms of Service (at least 13, or older depending on your country). We do not knowingly collect data from anyone below that age.

10. Changes to this Policy

We may update this Policy from time to time. The last-updated date is shown at the top of the page. Continued use of the services after changes constitutes acceptance.
